Job Description: Office Administrator
Position Overview:
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will be responsible for handling a variety of administrative tasks to ensure smooth day-to-day operations. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
1. General Administrative Support:
• Answer incoming phone calls and handle inquiries promptly and professionally.
• Respond to emails and ensure correspondence is managed efficiently.
• Maintain a clean and organized office environment.
2. Record Management:
• Update and manage office records and files, both physical and digital.
• Ensure documentation is accurate and securely stored.
3. Mailroom Duties:
• Sort, distribute, and manage incoming and outgoing mail.
• Coordinate courier services and manage deliveries.
4. Customer Interaction:
• Take customer orders in person and over the phone.
• Provide accurate information about products, services, and delivery timelines.
5. Scheduling Deliveries:
• Arrange and confirm delivery slots for customers.
• Coordinate with the delivery team to ensure timely and accurate service.
Working Hours:
• Full-time: Monday to Friday, 9:00 AM – 5:00 PM.
• One Saturday per month (schedule to be arranged in advance).
Qualifications & Skills:
• Strong organizational and multitasking skills.
• Excellent written and verbal communication abilities.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
• Friendly and professional demeanor.
• Previous administrative experience is an advantage but not essential.
